Key Terminology

To help you master Smart Form Notifications, here is a breakdown of the core terms used throughout the add-on and this documentation.

Core Add-on Terms

Workflow

A set of automated instructions that define who receives an email and what content is included based on a form submission.

Merge Tags (Variables)

Dynamic placeholders, such as {{Name}} or {{Email}}, that automatically pull and insert actual response data into your email subject or body.

Global Trigger

The master switch located in Global Settings that must be activated for the add-on to 'listen' for and process new form entries.

Conditional Logic

'Smart' rules that tell the add-on to send an email only when specific criteria are met (e.g., only if a 'Budget' question exceeds a certain value).

Execution Logs

A detailed history panel that tracks every sent notification, showing timestamps and success/failure status.

Email & Routing Terms

Dynamic Recipients

The ability to route emails to addresses provided within the form response (using a merge tag) rather than a fixed email address.

Rich Text Editor

The built-in formatting tool that allows you to customize your email template with bold text, lists, and links.

File Attachments

A feature that automatically includes files uploaded by respondents (like PDFs or images) as attachments in the notification email.

Email Quota

The daily limit of emails you can send through your Google account, which is displayed at the bottom of the add-on sidebar.

Logic Operators

When setting up Conditions, you will use these operators to filter your data:

EqualsThe response must exactly match the text you provide.
Not EqualsThe email sends only if the response does not match the specified text.
ContainsThe email sends if the response includes a specific word or phrase.
Greater Than / Less ThanUsed for numerical data to trigger alerts based on values (e.g., Budget > 5000).
